There is very little point in having any system for anything, if the people who are supposed to use it do not know what it is.

If your staff do know what is supposed to happen they are in a much better position to apply that knowledge to maximum efficiency.

Also, you might consider a Register of Systems to which they all have access, to make sure they are up to date with each system. Then if there is a change to any system one notice can be provided giving the change, but also where they can find the notes on the change in the Register so they can refer to it later.
