2. Do ALL your staff know what the System is? - NO
If you have a system for the paperwork, but your staff don't know it, or use it, you might just as well not have a system.
However, before thinking of changing the system you need to consider closely why they do not use it. It could be that they do know it, but something in the system is preventing its proper application.
On the other hand, they might just not know it.
Either way, if the system is not being used it is failing in its intentions and reducing your office efficiecy.
The easiest way of discovering the true situation is to have an Outside Assesor look at your systems and provide a report, from which steps to rectify the problem can be made.
